Operations Manager (Commodities)

Job description

Our client is a state-owned mining firm specialised in trading and investment with a unique approach to trading strategies and market analysis. As part of their development plan, they are seeking an experienced operations manager to guide and head a team.

You will be responsible for managing the operations team, cover duties such as issuance and return of purchase and sales contracts, liaising with suppliers and service providers, handling documentation, and ensuring efficient logistical operations.

 

Responsibilities
  • Follow up on the issuance and return of purchase and sales contracts, ensuring timely completion and accuracy.

  • Liaise with suppliers, customers, and service providers to manage shipments according to contractual requirements.

  • Negotiate with freight forwarders, shipping lines, and warehouses to secure competitive freight rates and bookings.

  • Coordinate with warehouses for import and export/release of cargo.

  • Prepare and issue key documents such as invoices, packing lists, and marine insurance as necessary.

  • Manage the issuance of Letters of Credit and verify their workability, ensuring accuracy for bank submissions.

  • Record and manage inventory levels across all locations and warehouses, reconciling with monthly stock reports.

  • Update shipping invoices in the internal system (SAP) for both Accounts Payables and Accounts Receivables, ensuring timely month-end closing.

  • Maintain close communication with purchase and sales parties regarding vessel schedules, shipment progress, and operational issues.

  • Prepare laytime calculations and manage dispatch/demurrage payments.

  • Handle claims related to quality, quantity, and container damages.

  • Monitor and follow up on payment receivables to ensure timely collection.

  • Ensure prompt payments to suppliers and service providers.

  • Identify and address inefficiencies in logistical operations, proposing and implementing solutions.

  • Assist the Head of Operations in developing and implementing strategies to enhance work efficiency.

  • Train and guide newly hired Operation Executives to ensure adherence to processes.

  • Address and resolve day-to-day operational issues, escalating to the Head of Operations when necessary.

  • Perform other trade support duties as assigned.

Requirements
  • General understanding of shipping and logistics terms (e.g., INCOTERMS, UCP600).

  • Basic knowledge of financial terms.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

  • Ability to prioritise and manage multiple tasks in a high-pressure environment.

  • Evidence of written communication skills ability to interact with a diverse range of individuals.

  • Capable of working independently and adapting to changes.

  • Attention to detailand numerical proficiency.

  • Open-minded, team-oriented, and possesses a sense of urgency in resolving issues.
